How do I refuel when I have a replacement vehicle?

When driving a replacement vehicle, you still use your own fuel card — or, if that is not possible, you pay in advance and submit the expense through an expense claim.

Step-by-step

  • Don’t have a fuel card because you only have a charging card? Need to refuel your replacement vehicle anyway?
→ Submit an expense claim through the usual reimbursement system.
  • Do have a fuel card and need to refuel a replacement vehicle?
→ First, check which fuel type is required.
→ Use the specific mileage indicated in your car policy.
→ Keep all fuel receipts if you pay in advance.

Additional information

  • Check the vehicle’s manual or the fuel cap to ensure you refuel with the correct fuel type.

  • Verify with Mobilitypower whether your fuel card is activated for the required fuel type (if it differs from your regular one).

  • Check your car policy to see which mileage you should enter at the pump when refueling. Usually, you are asked to enter a different figure as an indicator that these refuels belong to a replacement vehicle. When in doubt, always confirm with Mobilitypower.

  • If you have to prepay for fuel yourself, keep the original receipts and submit them through your expense claim or your employer’s reimbursement system to receive repayment.
